Terms of Service & Booking Policy

Welcome to Cosmic Himalaya. We believe adventure should be built on trust, transparency, and shared responsibility. These terms outline our commitment to ethical trekking, safety, and fairness for every explorer.

1. Booking & Payment Structure

To ensure smooth logistics in the Himalayas—including permits, domestic flights, and teahouse reservations—we follow a phased payment system:

  • Token Deposit (10%): Non-refundable deposit required to initiate permits and reservations. Adjustable in final cost but not refundable.
  • Confirmation Payment (25%): Due 30 days before arrival to secure domestic flights and high-altitude accommodation.
  • Final Balance (65%): Payable upon arrival in Kathmandu before trek departure (USD/NPR cash or card; bank fees may apply).

2. Cancellation & Fair Refund Policy

We understand plans may change. Refunds are processed fairly while covering costs committed to third-party vendors.

15–29 Days before Departure 50% refund of total trip cost
Less than 15 Days / No-Show No refund applicable
Note: No refunds are issued for unused services such as meals, rooms, or days if a trek is ended early or activities are skipped voluntarily.

3. Cosmic Himalaya “Safe-Guard” (Force Majeure)

High-altitude regions are unpredictable. In case of landslides, avalanches, weather-related flight cancellations, or government restrictions:

  • Free Rescheduling: One-time reschedule valid for 12 months.
  • Alternative Routes: Equivalent-value trek offered if original route is inaccessible.
  • Direct Costs: Increased permit or flight fees at the time of rescheduling are borne by the traveler.

4. Our Commitment to Responsibility

  • Porter Welfare: Ethical porter guidelines followed; insured, well-equipped, max load 25kg.
  • Safety First: Certified guides may alter itineraries based on weather or participant health.
  • Medical Support: Travel insurance with high-altitude helicopter evacuation is mandatory.

5. Legal Jurisdiction

Cosmic Himalaya is a registered trekking and touring company under the laws of Nepal. All disputes shall be governed under the legal jurisdiction of Kathmandu, Nepal.
